We are currently seeking qualified candidates for the position of Event Programs Manager to be primarily responsible for organizing and managing strategic programs and activities for clients targeting, but not limited to, Ophthalmology, Optometry and Dermatology/Aesthetics thought leaders.
What a day in the life of a Event Programs Manager looks like:
Specific responsibilities include (but are not limited to):
- Serve as account lead for assigned clients (schedule and lead client status calls, send meeting recap emails, review and take ownership of all fully executed contracts and coordinate with other internal team members on deliverables, etc).
- Develop effective and collaborative relationships with internal and external stakeholders.
- Identify clients' business objectives and brainstorm the best event type to help them achieve these objectives.
- Identify clients' requirements and expectations for each event through kickoff calls.
- Manage all aspects of an event from pre-planning, determining resource needs, pre-event outreach and promotion, and onsite coordination, to post event follow-up.
- Serve as the main point of contact for the client and attendees for any and all changes, problems throughout the pre-planning and onsite.
- Proactively anticipate any potential issues and troubleshoot any problems, leading up to and on the event day.
- Set up and maintain project in Basecamp to ensure all communication and deliverables are documented.
- Review conference agendas and recommend target dates and times for client programs.
- Identify recommended target attendees for clients based on target profile.
- Manage client’s conference calendars based on contracted deliverables. This includes, but is not limited to, sending invitations, calendar holds and reminders to target attendees and track client conference schedule.
- Conduct research for venues and make recommendations for event locations. Facilitate the contracting process including negotiating the best possible rates and terms.
- Source and coordinate third-party vendors such as photographers, transportation, etc.
- Specify and coordinate any additional staff needs for specific events (i.e. medical writer, registration staff). This may be internal BMC or external hired staff. Ensure that these individuals are aware of the event details and their responsibilities and timelines.
- Order signage and supplies needed for events and ensure items arrive in a timely fashion. Work with internal graphic artist on design needs as required.
- Develop and maintain client conference guide or event plan including schedules, contact info, KOL bios, etc.
- Manage budget throughout planning process and reconcile final costs against the budget at conclusion of each program.
- Conduct post-event debrief and analysis to inform future events.
- Track execution results for programs to gauge client’s future event targets to ensure we are providing the most strategic, results based, relationship for each client.
What we expect from qualified candidates:
- Bachelor’s Degree education level required
- Experience in Event/meeting planning is required (3-5 years)
- Experience in medical industry is preferred but not required
- Ability to manage multiple clients and multiple projects at once
- Strong organizational and interpersonal skills
- Excellent time management skills
- Ability to interact with key client stakeholders and senior management with high level of professionalism
- Work independently as well as collaboratively within a team environment
- Ability to work well under pressure
- Ability to travel and manage on-site conference-based events. Work will require travel (average 10-12 trips per year), and to include weekend and/or evening hours.
